ABOUT THE ROLE
As an Export Operations Executive – Trade Documentation & Compliance at Amber, you will own end-to-end export documentation, ensure regulatory compliance, and coordinate seamlessly across internal teams, banks, and logistics partners. This role demands precision, accountability, and a zero-error approach to every shipment.
KEY RESPONSIBILITIES
1. Trade Documentation
- Prepare, verify, and process export documents — Commercial Invoice, Packing List, Shipping Bill, BL/AWB, Certificate of Origin (CoO), and L/C sets.
- Ensure accuracy against purchase orders, L/C terms, and country-specific import requirements.
- Submit documents within defined timelines for customs clearance and dispatch.
- Cross-check documents against pre-shipment inspection requirements to prevent discrepancies.
2. Coordination & Logistics
- Coordinate with CHAs, freight forwarders, shipping lines, and transporters for timely shipment execution.
- Track vessel schedules, container availability, and shipment status through delivery.
- Ensure packing and labeling comply with export requirements in coordination with warehouse/dispatch.
3. Compliance & Regulatory
- Ensure compliance with DGFT regulations, customs policies, and international trade frameworks.
- Stay updated on EXIM policy amendments, FTAs, and country-specific regulations.
- Support internal and external audits on export transactions.
4. Finance & Banking Support
- Submit export documents to banks for negotiation, collection, and realization of proceeds.
- Assist finance with FIRCs, BRCs, and RODTEP/Drawback claims.
- Coordinate duty drawback and incentive filings under applicable export promotion schemes.
5. Client Communication & Reporting
- Serve as the primary client contact for shipment status, document dispatch, and query resolution.
- Maintain export transaction records, shipment trackers, and document registers.
- Generate MIS reports on shipment performance, pending documentation, and dispatch schedules.
SKILLS & COMPETENCIES
- Export Documentation: Strong command of export documentation and shipping procedures
- International Trade: Knowledge of Incoterms, customs regulations and trade practices
- Banking Documentation: Familiarity with L/C, BRC, FIRC and forex documentation
- Regulatory Knowledge: Understanding of DGFT, duty drawback, RODTEP and incentive schemes
- ERP & MS Office: Proficiency in MS Excel, Word and ERP systems (SAP/Tally)
- Communication: Clear written and verbal communication with global clients and partners
- Attention to Detail: High accuracy with ability to meet tight shipment deadlines
- Coordination: Effective coordination across teams, CHAs, forwarders and banks
QUALIFICATIONS & EXPERIENCE
- EDUCATION: Graduate in Commerce, Logistics, Supply Chain Management, or related field. Diploma in Export-Import Management or IIFT certification is a strong plus.
- EXPERIENCE: 1–4 years of hands-on experience in export documentation, shipping operations, or trade compliance. Prior exposure to a freight forwarder, export house, or manufacturing export division is preferred.
- INDUSTRY: Cross-industry export documentation experience is welcome. Candidates from commodities, manufacturing, or trading company backgrounds are encouraged to apply.
